1. About AILabeling

AILabeling provides tools for creating, generating and printing thermal labels.

The service currently consists of:

• Thermal Label Maker — a Google Sheets™ add-on used to design, generate and print thermal labels from spreadsheet data.
• AILabeling website — a public website that can use AI to generate label templates and sample spreadsheet data from a description provided by the user.
• Google Sheets generation service — used by the website to create a spreadsheet copy containing generated fields and sample data when requested by the user.

2. Information We Collect

The information processed by AILabeling depends on how you use the service.

Google Sheets Add-on

When you use Thermal Label Maker, the add-on may temporarily access information in the Google Sheet required to provide its label-generation, editing and printing functionality.

This may include spreadsheet values used as label data, column names, label templates and related configuration.

We do not intentionally collect or store the contents of your Google Sheets as a separate database for advertising, profiling, or unrelated purposes.

AILabeling Website

When you use the AI label generator on the AILabeling website, we process the label description or prompt that you submit.

The generated result may include:

• label dimensions;
• label text and placeholders;
• barcode and QR-code configuration;
• layout information;
• sample spreadsheet column names;
• synthetic sample data.

The website does not require you to provide your Google Account password to use the AI label generator.

Account, Licensing and Purchase Information

Depending on the features and purchase flow you use, AILabeling may process information such as your email address, plan information, usage information, purchase identifiers and support communications.

3. AI Processing

The AILabeling website uses the OpenAI API to generate thermal-label templates from prompts submitted by users.

When you request an AI-generated label, the prompt is sent from the AILabeling website to our secure backend service. The backend sends the information required for the requested generation to the OpenAI API.

The AI-generated result is returned to the AILabeling website and may be used to provide a downloadable JSON label template or to prepare sample spreadsheet data requested by the user.

The AI service is used to perform the specific label-generation function requested by the user. AILabeling does not use Google Workspace user data obtained through the Google Sheets add-on to train generalized artificial intelligence models.

4. Third-Party AI Provider

AILabeling currently uses:

• Provider: OpenAI
• Service: OpenAI API
• Purpose: AI-assisted thermal-label generation

OpenAI states that, by default, API inputs and outputs are not used to train or improve its models unless the relevant organisation explicitly opts in to data sharing.

Information processed through the OpenAI API remains subject to OpenAI's applicable terms, privacy policy, security practices and data-retention policies.

AILabeling does not use an AI aggregator or multi-provider AI gateway for the current label-generation service.

5. Google User Data and Limited Use

Thermal Label Maker accesses Google user data only to provide the functionality of the Google Sheets add-on.

We do not sell, rent, trade or use Google user data for advertising, targeted advertising, advertising profiles or data brokerage.

Google user data is not used to create, train or improve generalized artificial intelligence or machine-learning models.

Where Google user data is transferred to a third-party service, the transfer is limited to what is necessary to provide the user-facing functionality requested by the user, comply with law, or protect the service against security or abuse.

Our use of information received from Google Workspace scopes adheres to the Google Workspace User Data Policy, including its Limited Use requirements.

6. Google Sheets Generation

The AILabeling website can optionally create a Google Sheets copy containing the generated spreadsheet columns and sample data.

This feature is provided only when the user requests it.

The generated spreadsheet may contain synthetic example information such as product names, SKU values, quantities, dates, prices, barcodes or other sample values appropriate to the requested label.

The spreadsheet is created through Google Apps Script and Google Sheets services. AILabeling does not require access to the user's existing private spreadsheets in order to create this generated sample spreadsheet.

7. Website Analytics

The AILabeling website uses Google Analytics to understand website usage and improve the website experience.

Analytics may collect information such as browser and device information, approximate geographic information, pages viewed, referral information and interactions with the website.

Analytics data is used for website measurement and product improvement and is not used to read the contents of a user's Google Sheets.

8. Payments and Paddle

Paid AILabeling plans are processed through Paddle, which acts as the Merchant of Record for applicable purchases.

AILabeling does not store payment-card numbers or other complete payment credentials.

Paddle may process information required to complete a purchase, including customer, billing, transaction and payment-related information.

Paddle's own privacy notice and buyer terms apply to information processed by Paddle during checkout.

9. Data Sharing

We do not sell or rent personal information.

Information may be processed by third-party service providers where necessary to provide the service, including:

• Google Cloud and Google Workspace services;
• OpenAI API for AI label generation;
• Google Analytics for website analytics;
• Paddle for payment processing and Merchant of Record services;
• other infrastructure or security providers where reasonably necessary to operate the service.

We may also disclose information where required by applicable law, legal process or a valid governmental request.

10. Data Storage and Security

AILabeling uses cloud infrastructure and reasonable technical and organisational measures designed to protect information against unauthorised access, loss, misuse or disclosure.

Data transmitted between users and AILabeling services is protected using modern encrypted connections where supported by the relevant service.

No online service can guarantee absolute security.

11. Data Retention and Deletion

We retain information only for as long as reasonably necessary to provide the service, maintain licensing and usage records, provide support, process purchases, resolve disputes, maintain security, or comply with legal and accounting obligations.

User-created content stored in Google Sheets remains under the user's control and can be edited or deleted by the user.

Generated sample spreadsheets can be deleted by the user through Google Sheets.

Where information is temporarily processed by third-party providers, retention may occur according to the provider's applicable privacy and data-retention practices.

12. Your Rights

Depending on your location and applicable law, you may have rights including:

• access to personal information we hold about you;
• correction of inaccurate information;
• deletion of personal information where applicable;
• restriction or objection to certain processing;
• data portability where applicable.

13. Children's Privacy

AILabeling is not specifically directed at children. Users should use the service in accordance with the age requirements and policies applicable to their Google Account and the services they use.

14. Changes to This Policy

We may update this Privacy Policy when the AILabeling service, third-party integrations or data practices change.
